Client Intake & Marketing Assistant

Sklar Kirsh, LLP, a corporate, real estate, entertainment, litigation, and bankruptcy law firm, is seeking a highly motivated, detail oriented, and enthusiastic Client Intake & Marketing Assistant to join our team.

Responsibilities Include:

Client Intake

  • Conduct conflict checks to clear conflicts for the firm before engaging new clients or opening new matters
  • Draft engagement letters for new clients
  • Draft conflict waivers for clients when necessary
  • Draft retainer invoices for clients when necessary
  • Open new clients and new matters in both our accounting software for billing (Coyote Analytics) as well as our cloud based document management system (Net Documents)
  • Assist in the disengagement process with clients and close files
  • Open and maintain client budgets
  • Keep track of outstanding engagement letters, conflict waiver, and retainers and circulate weekly emails re: status
  • Create new rate schedules for clients if their rate is altered in the engagement letter
  • Responsible for maintaining and updating client contact information in our accounting software

Marketing and PR

  • Responsible for maintaining and updating the website and LinkedIn
  • Create and send out firm mailings, invitations, and newsletters (utilizing Mail Chimp, Adobe Photoshop, and Canva)
  • Coordinate sponsorships ( handle ad creation where needed)
  • Assist with creating and organizing creative materials for firm events (from firm social outings to event sponsorship)
  • Obtain weekly deal closing summaries from attorneys and circulate to the team in a weekly email, as well as create one-sheets for deal closings
  • Responsible for firm cofounder’s podcast marketing across social platforms

Miscellaneous

  • Save documents to their respective files in our cloud based document management system
  • Organize files in our cloud based document management system
  • Maintain spreadsheet for local counsel
  • Other general administrative and legal support as necessary

Candidate Qualifications:

  • 1 – 2 years of professional experience preferred, law firm experience a plus
  • Proficiency in Microsoft Outlook, Microsoft Word, Microsoft Excel, Adobe Photoshop, Adobe Acrobat, and Canva preferred
  • Strong attention to detail and meticulous follow through
  • Great team player
  • Must have ability to handle multiple tasks in a fast-paced, deadline-driven environment
  • High level of organizational, clerical, writing, and technical skills
  • Must have a strong work ethic, positive demeanor, and be a practical problem solver
  • Must have an excellent attitude and maintain composure under sometimes stressful conditions
  • Self-starter and resourceful, able to see the bigger picture and manage accordingly

Details:

Hours: 40 hours/week

Compensation: Hourly Rate of $28.85 – $31.25 (Annualized to approx. $60,000 – $65,000) DOE

Firm provides: Parking, 401(k) Plan, Medical/Dental/Vision Insurance, 10 days of sick time, generous vacation policy, Short Term Disability, Long Term Disability, AD&D, and Life Insurance Benefits

Work From Home Available?: Yes, 2 days a week after training
